How to Verify a Chinese Supplier Before Paying a Deposit

Paying a deposit is the point where supplier research becomes financial risk. A good Alibaba profile, a professional catalogue, and a responsive salesperson can all be genuine. None of them proves that the company receiving your money is the factory you evaluated.

Quick answer: Before paying, verify the supplier’s Chinese legal identity, confirm that the beneficiary account belongs to that entity, validate product-specific certificates, approve a representative sample, and check the actual production site. For a material order, an independent factory audit is usually cheaper than discovering the problem after production starts.

1. Collect the supplier’s legal identity

Ask for a clear copy of the Chinese business license. Record these fields exactly as shown in Chinese:

• Unified Social Credit Code
• Full registered company name
• Legal representative
• Registered address
• Establishment date
• Registered business scope

Search the company name or credit code in China’s official National Enterprise Credit Information Publicity System. The system is the government’s public platform for company registration and regulatory information.

Check whether the company is active and whether its business scope is consistent with manufacturing or trading the product. A registered trading company is not automatically unacceptable. The risk is a company presenting itself as a factory while hiding the actual producer.

2. Match every name before sending money

The following documents should tell one coherent story:

Treat a last-minute request to pay a personal account, an unrelated Hong Kong company, or a new beneficiary as a stop signal. Do not rely on an email explanation alone. Ask for corporate documentation that explains the relationship and independently confirm the change using a previously verified contact channel.

3. Verify the factory, not just the sales office

Start with a live video call. Ask the supplier to move from the office to receiving, production, quality control, finished-goods storage, and packing without cuts. During the call, request specific evidence:

1. Show today’s production schedule.
2. Show equipment used for your product.
3. Show incoming-material and finished-goods inspection records.
4. Show a current product and its packaging.
5. Show the factory name at the entrance and on internal documents.

A video call is a useful screen, not a substitute for an audit. It cannot reliably prove ownership, capacity, labor conditions, subcontracting, or whether the displayed line will produce your order.

4. Check whether certificates apply to your product

A certificate can be authentic but irrelevant. Confirm the model number, applicant, manufacturer, standard, laboratory, issue date, and scope.

For radio-frequency products sold in the United States, the FCC maintains its Equipment Authorization resources and certified equipment records. For products sold in the European Economic Area, remember that CE marking is a manufacturer’s declaration, not a general government approval. Do not ask only, “Do you have CE?” Ask which legislation and standards apply to the exact model and what technical file supports the declaration.

5. Order and define the right sample

An off-the-shelf sample proves that the supplier can send one good unit. It does not define your production standard.

Create a written specification covering materials, dimensions, color references, function, packaging, labels, tolerances, and test methods. Once the customized sample is approved, identify it as the golden sample and keep one unit with the buyer and one sealed unit at the factory.

Photographs are useful records, but they cannot replace a physical reference for color, finish, feel, fit, or assembly.

6. Use an audit when the exposure justifies it

A factory audit should answer questions that online checks cannot:

• Is the site real and operating?
• Does the legal entity control or use the facility?
• Can the equipment and workforce make the product?
• Are key processes subcontracted?
• Is there a functioning quality system?
• Is current capacity compatible with the promised lead time?

The depth should match the risk. A simple stock item and a custom electrical product should not receive the same review.

Red flags that should pause payment

• Bank details change shortly before the deposit.
• The beneficiary is an individual without a documented reason.
• The supplier refuses to provide its Chinese legal name.
• The factory address changes across documents.
• Certificates cover a different model or company.
• The supplier will not allow a live tour or independent visit.
• The quotation is far below comparable offers without a technical explanation.
• The contract leaves specifications, inspection criteria, or remedies undefined.

A practical pre-deposit decision

Use three outcomes rather than forcing a yes-or-no decision:
